About You



As the HR Administrative Office Assistant, you will often make the first impression at our Louisville, Kentucky office addressing the needs of visitors, our production managers, and your teammates. You enjoy learning, collaborating, and building trusting relationships. You demonstrate high integrity and display an excellent ability to handle sensitive information confidentially. You will join a team of professionals who enjoy and take pride in improving the lives of patients. Working knowledge of computer software applications, i.e. Microsoft Word, Excel, Outlook, etc., is preferred. You must possess appropriate interpersonal and communication skills to effectively and cooperatively interact with office and production staff, customers and the community.

Specifically, you will demonstrate high standards in the following duties:



· Facilitate day to day activities of the front desk by greeting our visitors and vendors with a pleasant, positive demeanor

· Professionally answer phone calls and follow up on open items

· Check company voicemail daily distributing messages to the appropriate staff members and departments.

· Securely and confidentially scan and file employee documents

· Partner with production staff in managing projects to ensure that all tasks are completed on time

* Sort and distribute daily incoming mail distributing as appropriate

* Ensure reception area is clean, organized and esthetically presentable.

* Develop forms, letters, memos, and spreadsheets based on identified criteria.

* Maintain Personnel Files – keep I-9, W-4, address, etc. information current.

* Enter New Hires into HR Online system and submit copies of all records to MA site

* Prepare New Hire, Benefit, and Exit Interview packets

* Maintain spreadsheets on new hires, rehires and terminations (turnover stats)

* Maintain staff bulletin boards with current information using creativity for esthetic purposes. Keep posters in compliance with State and Federal Laws

* Keep benefit enrollment information current enrolling participants on a timely basis. Distribute all health benefit information to enrollees. Keep files updated with changes including new hires and terminations. Provide necessary updates to HR Administrator. Act as a liaison between staff and group health insurance third party administrator regarding outstanding bills or questionable claims payments.

* Assist with Time and Attendance records for bi-weekly payroll. Prepare and complete all phases of bi-weekly timecards. Prepare, maintain and distribute Vacation/Sick balances

* Assist staff members with any Human Resources issues acting as liaison for the HR Department

* Update and maintain Spinal Technology calendar for KY site

* Support and participate in Safety Program activities including the reporting and maintenance of Worker’s Compensation issues.

* Maintain Safety Plan documentation ensuring all protocols are adhered to and documented

* Arrange meetings and documenting issues and outcomes

* Assist with holiday and staff events, such as ordering lunch and/or organize catering as requested for meetings and company functions

* Ensure all purchases have been appropriately authorized

* Ensure that all receipts, invoices, etc. are signed and dated

* Maintain the daily petty cash fund

* Work closely with MA Accounting Office to facilitate the day to day accounting activities for KY site

· Other duties and responsibilities as assigned by Management.


Your Qualifications and Experience



· High school diploma or equivalent

· Office experience required

· Payroll duties and some Human Resource experience preferred

· Ability to quickly type and enter data into various software programs
